The required details on an invoice

In France, an invoice is a legal document. To be valid, it has to include several specific details. A quote, on the other hand, is a commercial proposal that only becomes binding once the client accepts and signs it.

Identity and company number

List the name and address of both the issuer and the client, along with your company number (and a note that VAT is not applicable if you're exempt).

Number, dates and VAT

Every invoice carries a unique number, an issue date and, where relevant, a due date. The line-item breakdown shows amounts excl. VAT, the VAT rate and the total incl. VAT.

Invoice or quote?

A quote prices a job before it's done and sets the terms. The invoice, issued afterwards, confirms the sale and serves as accounting proof.

Continuous numbering

Numbers must run in sequence with no gaps or duplicates, in chronological order. Tip: keep each invoice for 10 years, which is the legal retention period.

What details are required on an invoice?

An invoice must show your identity and business registration number, a unique number, the date, the detail of what's supplied, the net price, the VAT rate and amount, then the gross total, along with the client's details. The due date and payment terms round it off. Invoices must be kept for ten years.

How should I number my invoices?

Numbering follows a continuous sequence, with no gap or duplicate, in chronological order. Many prefix with the year, such as 2026-001 then 2026-002. You can run one series per year, as long as a number is never reused.

Does a quote replace an invoice?

No. A quote prices a job before the deal; once signed as accepted, it binds both sides, but the invoice still has to be issued after the work is delivered or the sale is made. Switch the selector between the two formats depending on the stage.

What if I don't charge VAT?

Tick the « TVA non applicable » box: the tax line disappears and the wording « TVA non applicable, article 293 B du CGI » is added automatically. This applies to micro-entrepreneurs and businesses under the franchise en base scheme.

Is my billing data sent anywhere?

No. The invoice is built and laid out in your browser, and the PDF goes through your device's print dialog. Neither your details nor your clients' pass through any server.
